  2. Paid audit and plan (1 week). We map your current process, then deliver a written plan with workflow diagrams, tool choices, and hours-saved estimates.
  3. Build (1-3 weeks). We set up the automations in your accounts, with you as owner — you keep all logins and data.
  4. Launch and train. 60-minute walkthrough, recorded, plus the runbook. Your team knows what's running before it goes live.
  5. Two weeks of included tuning. We fix edge cases, adjust timing, and add anything we missed once real customers hit the system.

Who it's for (and who it's not)

This is for small businesses doing real volume — at least 20-30 leads, appointments, or orders a week — where you can clearly name the tasks eating your time. Service businesses, trades, clinics, agencies, and e-commerce shops are the typical fit.

It's not for you if you're pre-revenue and don't have a process yet — automation amplifies what works, it doesn't invent it. It's also not for you if you want a single magic AI tool to run your business; we build practical plumbing between real systems, not science projects.

What it costs

Most automation projects run $1,000-$5,000 depending on how many workflows and integrations are involved. A focused project — say, three or four automations on tools you already use — lands near the bottom of that range. A full CRM cleanup with email sequences, reminder flows, and four or five integrations lands near the top. Timeline is 2-4 weeks from signed proposal to live system. Tool subscriptions (Zapier, Make, your CRM) are billed to you directly so you own them.

What kinds of tasks can actually be automated in a small business?

The busywork that follows a predictable pattern: sending quote follow-ups, confirming appointments, requesting reviews after a job, tagging leads in your CRM, syncing form submissions to a spreadsheet, texting customers who missed a call, sending invoices when a job is marked complete. If you can describe the trigger and the steps, it can almost always be automated. Tasks that require judgment on every case — pricing a custom job, handling a complaint — should stay with humans.

Do I need expensive new software to automate my business?

Usually not. Most small businesses already pay for the tools they need — a CRM, an email platform, a scheduling app, QuickBooks — and just haven't connected them. We build automations on top of what you have whenever possible. If a new tool genuinely saves more than it costs, we'll say so and show you the math. The goal is fewer manual steps, not a bigger tech stack.

How long until I actually see hours saved each week?

For a typical 2-4 week project, you'll see time savings the week the automations go live. The audit phase tells you up front roughly how many hours per week each workflow will save — for example, automated appointment confirmations alone usually save 2-4 hours weekly for a service business. Most clients recoup the project cost in saved time within 2-3 months.

What happens if an automation breaks or sends something wrong?

Every automation we build has a clear off-switch and an error notification — if something fails, you find out, not your customer. The runbook tells you exactly which workflow runs when, so you can pause any single piece without breaking the rest. During the two weeks of included tuning, we fix anything that misbehaves at no extra cost. After that, small fixes are billed hourly, but the system is yours to modify.

Can you work with the CRM and tools I already use?

Yes — that's usually the better choice. We work in HubSpot, Pipedrive, GoHighLevel, Zoho, Salesforce, ActiveCampaign, Mailchimp, Klaviyo, and most others. Same for scheduling (Calendly, Acuity), accounting (QuickBooks, Xero), and payments (Stripe, Square). We'll only recommend switching tools if your current one genuinely can't do what you need, and we'll show you the cost-benefit before you decide.

Will I be locked into your agency to maintain this?

No. Everything is built in your accounts, under your logins, with documentation. The runbook explains every workflow in plain English so your team — or any other developer — can maintain or change it. We're happy to handle ongoing tuning if you want it, but you're not locked in. Owning your automations is the whole point; renting them defeats the purpose.
